Privacy Policy

1. Scope
This policy describes how Seed of the Future Trust, a U.S. 501(c)(3) public charity (the “Trust”), collects, uses, and protects information processed through its internal operations console at app.seedofthefuture.org(the “Application”). The Application is used by trustees and authorized administrators only.
2. Information We Collect
The Application stores the following categories of information:
- Trustee account information: name, email address, role, sign-in timestamps.
- Donor information: name, contact details (email, phone, mailing address), donation amounts, payment method, employer identification number (EIN) where applicable, donor type (individual/business/foundation), country.
- Compliance records: state and federal filings, due dates, completion status, internal notes.
- Documents: legal, financial, and administrative documents stored in the Trust’s shared Google Drive vault.
3. How We Use Information
We use the information collected to:
- Generate and deliver IRS-compliant donation receipts
- Track compliance with state and federal filing obligations
- Reconcile donations between the Application and the Trust’s accounting system
- Communicate with donors regarding their contributions
- Maintain records required by U.S. tax law
4. Sub-Processors
The Application relies on the following third-party service providers, each of which processes data on our behalf and is bound by its own privacy commitments:
- Google LLC — authentication and Google Drive storage
- Supabase Inc. — managed Postgres database and authentication
- Resend Inc. — transactional email delivery
- Vercel Inc. — application hosting
- Intuit Inc. — QuickBooks Online accounting integration
5. Data Sharing
The Trust does not sell donor data. Information is disclosed only to: (a) the sub-processors listed above for service delivery, (b) authorized trustees and administrators for the purposes described in this policy, and (c) governmental authorities when required by law or by IRS regulation.
6. Data Retention
Donor and donation records are retained for a minimum of seven (7) years to comply with IRS recordkeeping requirements. Trustee account data is retained for the duration of the User’s involvement with the Trust.
7. Data Subject Rights
Donors may request access to, correction of, or deletion of their personal information by emailing seedofthefuturetrust@gmail.com. The Trust may retain certain records to satisfy IRS or state-level legal obligations notwithstanding a deletion request.
8. Security
The Application uses HTTPS for all traffic, encrypts credentials at rest in the hosting platform, applies role-based access controls, and relies on managed authentication providers (Supabase, Google) for identity verification. Access is limited to invited trustees and administrators.
9. International Donors
Donor information may be processed and stored in the United States, where the Trust and its sub-processors operate. By making a contribution or providing personal information to the Trust, donors consent to such processing.
10. Changes to This Policy
This policy may be updated. Material changes will be communicated to active trustees through the Application.
